SalonGrid Studio (“SalonGrid Studio,” “we,” “us,” or “our”) operates the website salongridstudio.com and the SalonGrid Studio subscription platform (together, the “Services”). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the rights you have over it.
By using the Services you acknowledge that you have read and understood this Privacy Policy. If you do not agree, do not use the Services.
SalonGrid Studio is operated from Quebec, Canada. Our Privacy Officer, as required by Quebec Law 25, can be reached using the contact methods in the Contact section below.
1. Information We Collect
We collect personal information in three ways: information you give us directly, information generated automatically when you use the Services, and information provided by third parties who help us run the Services.
Information you provide directly includes your name, email address, business name, business type, phone number, mailing address, billing information, and any other details you submit through contact forms, onboarding forms, the subscription portal, or any other interaction with us. If you book a Discovery Call we collect the information you share during that call. If you upload footage, photos, brand assets, client lists, or any other content into your portal we collect and process that content for the purpose of producing your videos and running your automations.
Information collected automatically includes your IP address, device type, browser type, operating system, pages viewed, links clicked, time spent on the Services, referring URL, and similar usage data. We use cookies and similar tracking technologies on the public site to help operate the site, measure traffic, and improve performance. You can disable cookies in your browser settings; some parts of the Services may not function correctly if you do.
Information from third parties includes data from social media accounts you connect (Instagram, TikTok, Facebook, Google Business Profile), payment processors who confirm transactions, and analytics providers who measure how visitors interact with the public site.
2. How We Use Your Information
We use your personal information to:
• Operate the Services, including producing videos from footage you upload, running the automations you have subscribed to, and delivering the dashboards, reports, and tools inside your portal.
• Process your subscription payments, renewals, and refunds.
• Communicate with you about your account, your billing, your video production, your support requests, and changes to the Services.
• Send you marketing and promotional messages, but only after you have given express consent, typically by checking a consent box on a form or by subscribing to a list. You can withdraw that consent at any time.
• Improve the Services through analytics, performance measurement, and product research.
• Detect, prevent, and respond to fraud, abuse, and security incidents.
• Comply with applicable laws and respond to lawful requests from regulators, courts, and government agencies.
We do not sell your personal information. We do not share your client lists with other clients or third parties for their own marketing.
3. Client-Supplied Content and Footage
Many of our subscription plans involve uploading raw video footage, photos, brand assets, and other content to your portal. This section explains how that content is handled.
You retain all ownership of the content you upload. We do not claim ownership of your footage, your photos, your logos, your brand colors, or any other material you provide.
By uploading content to your portal you grant SalonGrid Studio a limited, non-exclusive, royalty-free license to use that content solely for the purpose of producing, editing, branding, captioning, storing, and (where you have opted in) posting the finished videos on your behalf. This license terminates when your subscription ends and we delete your content under the retention schedule in Section 10 below.
You warrant that you have the right to use every face, voice, likeness, logo, song, and other identifying element appearing in the content you upload. This includes obtaining model releases from staff, customers, and any other person visible or audible in the footage. You also warrant that the content does not infringe any third party’s intellectual property, privacy, or other rights. If a third party claims infringement based on content you uploaded, you are responsible for handling that claim and you agree to indemnify SalonGrid Studio against it.
4. AI-Generated Video Content
Two of our video formats, AI Talking Video (T07) and AI Commercial (T08), are produced using third-party generative AI services. When you request a video in one of these formats, the prompts, scripts, and brand inputs you provide may be sent to and processed by external AI providers under their own terms of service. The AI provider may retain prompts and outputs in accordance with its own privacy policy. The finished video is delivered to you, becomes part of your library, and you receive full commercial usage rights to it.
If you would prefer that your content not be processed by external AI providers, do not order T07 or T08 videos. Plans below Pro tier do not include T07 or T08 production by default.
5. Service Providers and Third Parties
We use trusted third-party service providers to help us operate the Services. We do not name individual vendors in this Privacy Policy because vendor relationships may change. Categories of providers we use include:
• Hosting and storage providers that host the public website, the portal, and the storage of your footage and finished videos.
• Payment processors that handle subscription billing and store payment-method data on our behalf.
• Automation and CRM infrastructure providers that power the booking, follow-up, review-request, and pipeline features inside your portal.
• AI video generation services used for T07 brand story videos and T08 AI commercials.
• AI conversational services used for the booking bots, the voice receptionist, and the AI-driven follow-up sequences.
• Email and SMS delivery services that send transactional and (with your consent) marketing communications.
• Analytics providers that measure how visitors use the public website.
Each provider is contractually bound to use your data only for the purpose of providing the agreed service and to maintain industry-standard security. We do not authorize providers to use your data to market their own products to you.
6. How We Share Information
We share personal information only in the following situations:
• With service providers as described in Section 5, for the limited purpose of operating the Services.
• With your express consent, for example when you ask us to share data with another platform you use.
• To comply with law, including responding to subpoenas, court orders, and lawful requests from regulators.
• To protect rights and safety, including to enforce our Terms of Service, prevent fraud, and protect SalonGrid Studio, our clients, and the public.
• In connection with a business transaction, such as a merger, acquisition, or sale of assets, in which case we will notify you and any new owner will be bound by the commitments in this Privacy Policy or an equivalent one.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising as those terms are defined in the California Consumer Privacy Act and similar laws.
7. Subscription Billing
The Services are sold as a recurring monthly subscription billed in Canadian Dollars (CAD). Subscriptions auto-renew at the end of each billing cycle unless you cancel before the next renewal date from inside your portal. New clients receive a promotional 20% discount on months one through three, then automatically convert to the full plan price beginning month four. Full subscription terms, cancellation rules, refund rules, and pause options are set out in our Terms of Service.
8. SMS and Email Marketing Consent (CASL)
SalonGrid Studio complies with Canadian Anti-Spam Legislation (CASL), the Telephone Consumer Protection Act (TCPA), and equivalent laws in other jurisdictions.
We only send commercial electronic messages (marketing emails or marketing texts) to recipients who have given express written consent, typically by checking a consent box on a form or subscribing to a list. Every commercial message we send identifies SalonGrid Studio as the sender and includes a working unsubscribe mechanism (an unsubscribe link in email, or a STOP reply mechanism in SMS).
You can withdraw consent at any time by replying STOP to any text message, clicking Unsubscribe in any email, or contacting us through the methods provided in Section 14. We will stop sending commercial messages within ten business days of receiving your request. We may still send transactional messages (booking confirmations, billing notices, support replies, password resets) to active subscribers because those are not commercial messages under CASL.
9. Call and Video-Call Recording
Onboarding kickoff Zoom calls, technical setup sessions, and quarterly strategy calls included on Pro tier and above may be recorded for internal training, quality assurance, and reference. If a call you are on is being recorded we will inform you at the start of the call and ask for verbal consent. Recordings are stored securely, accessible only to SalonGrid Studio personnel who need them for the purpose recorded, and retained for the period described in Section 10. You can request deletion of any specific recording in which you appear by contacting us using the details in Section 14.
10. Data Retention
We retain your personal information for the time necessary to deliver the Services and meet our legal obligations.
• During an active subscription: all data is retained for as long as your subscription is active and the data is in use.
• After cancellation: client contact data, portal data, conversation logs, and uploaded footage are retained for ninety days after cancellation, during which time you can export your data. After the ninety-day window, this data is permanently deleted from our active systems.
• Finished delivered videos: copies remain available in your portal during the ninety-day post-cancellation window for download. After that they are removed from our systems. You retain your own copies forever.
• Billing records: retained for seven years to comply with Canada Revenue Agency and Quebec tax retention requirements.
• Aggregated and anonymized data that cannot be used to identify you may be retained indefinitely for analytics and product research.
If you ask us to delete your data sooner than these defaults, we will do so to the extent allowed by law (we cannot, for example, delete billing records that we are legally required to keep).
11. Cookies and Tracking
The public salongridstudio.com website uses cookies and similar tracking technologies for three purposes: operating core site functions (the cart, the session, security), measuring traffic and performance (analytics), and supporting any marketing pixels we may run. You can disable cookies in your browser; some site functions may not work correctly if you do. If applicable advertising pixels are deployed we will list them in this section once they are live. If you reside in a jurisdiction that requires a cookie consent banner (such as the EU/UK or Quebec) you will see a banner on first visit asking you to accept, reject, or customize cookie preferences.
12. Children’s Privacy
The Services are not directed to children under the age of majority in your jurisdiction (eighteen years old in Quebec and most Canadian provinces, sixteen years old where allowed by applicable law). We do not knowingly collect personal information from minors. If you are a parent or guardian and believe your child has provided personal information to us, contact us using the details in Section 14 and we will delete it.
13. Your Rights
You have rights over the personal information we hold about you. The exact rights you can exercise depend on where you live.
If you live in Quebec (Quebec Law 25 / Bill 64): right to be informed about what we collect and why; right to access the personal information we hold about you; right to correction of inaccurate information; right to deletion (de-indexing or removal of information that is no longer needed for the purpose collected); right to data portability (receive your information in a structured, commonly-used format); right to be informed if you are subject to a decision made solely by automated processing and the right to challenge such decisions; right to lodge a complaint with the Commission d’accès à l’information du Québec (CAI).
If you live in the European Union or the United Kingdom (GDPR / UK GDPR): right of access, rectification, erasure, restriction of processing, objection, and portability; right to lodge a complaint with your local data protection supervisory authority; right to withdraw consent for any processing based on consent.
If you live in California (CCPA / CPRA) or similar US state laws: right to know what categories of information we have collected and the purposes for which they were used; right to delete personal information subject to legal exceptions; right to correct inaccurate information; right to opt out of any sale or sharing of personal information for cross-context behavioral advertising (we do not sell or share for that purpose); right to non-discrimination for exercising your rights.
If you live in Canada outside Quebec (PIPEDA and provincial equivalents): right to access, correct, and withdraw consent for the personal information we hold; right to file a complaint with the Office of the Privacy Commissioner of Canada.
To exercise any of these rights contact us using the details in Section 14. We will verify your identity, respond within the timelines required by the law that applies to you, and let you know if any request cannot be fulfilled and why.

15. International Data Transfers
SalonGrid Studio is based in Canada and our service providers may store and process data in Canada, the United States, the European Union, the United Kingdom, and other countries. Where we transfer personal information out of your country of residence we rely on recognized transfer mechanisms, including the European Commission’s Standard Contractual Clauses for EU/UK data, and equivalent contractual safeguards for other jurisdictions. By using the Services you understand that your data may be transferred to and processed in countries other than your own.
16. Security
We use industry-standard administrative, technical, and physical safeguards to protect your personal information, including encryption in transit and at rest, access controls limiting data access to authorized personnel, and routine security reviews. No system is perfectly secure and we cannot guarantee absolute security. If we become aware of a breach of personal information that creates a real risk of significant harm to you, we will notify you and the appropriate regulators as required by Quebec Law 25 and other applicable laws.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Services, or applicable law. When we make material changes we update the “Last updated” date at the top of this policy and, where required, notify active subscribers by email. Continued use of the Services after a change indicates acceptance of the updated policy.
